JOB TITLE:  Practice Manager

JOB TYPE: Full-time, exempt 

LOCATION: Specialists in Pain Management, Chattanooga, TN office

POSITION REPORTS TO: Medical Director 

BRIEF OVERALL DESCRIPTION/PURPOSE OF THE POSITION: The Practice Administrator will be responsible for the overall operations, development and success of the medical practice. In this important role, the Practice Administrator will act as an information resource and ambassador to patients, the general public, medical providers and staff. The Practice Administrator works closely with the Medical Director to develop business strategies, formulate budgets, and deal with daily operations. The Practice Administrator is in charge of making sure the practice is running smoothly and successfully while also working to expand the business.

DIRECT REPORTS: Administrative Assistants (2) 

KEY RESPONSIBILITIES/ACCOUNTABILITIES:

  •        Ensure office is opened and closed daily, as per established schedules
  •        Interview, hire and train new staff in accordance with HR guidelines
  •        Manage daily staffing to ensure optimal operation of the practice
  •        Regularly review productivity and make staffing adjustments as needed
  •        Monitor and approve time-cards and track licensure requirements for staff
  •        Conduct regular staff meetings and annual performance evaluations for the administrative team
  •        Review accounts receivable reports monthly
  •        Manage and oversee the business affairs of healthcare practices
  •        Supervise and oversee the overall staff performance
  •        Screen and interview candidates for job openings
  •        Provide training and educational material for staff
  •        Ensure legal obligations are met at all times
  •        Handle patient complaints and concerns
  •        Coordinate regular staff meetings and performance reviews
  •        Collaborate with Physicians to develop business strategies and patient services

EXPERIENCE REQUIRED:

  •        5+ years’ experience in medical office management
  •        Working knowledge of medical terminology
  •        Proficiency with EMR systems and software applications, including Microsoft Office Suite
  •        Excellent written and oral communication skills

EXPERIENCE DESIRED:

  •        Strong leadership, analytical, and organizational skills
  •        Knowledge of various software programs to support the management of the practice
  •        Medical office billing experience preferred

EDUCATION LEVEL DESIRED:

  •        Bachelor’s Degree in Healthcare Management or Business Administration required
  •        Master's degree in business or healthcare management preferred

QUALIFICATIONS/CERTIFICATIONS: AAPC preferred 

KNOWLEDGE:

  •       Proven experience working in a managerial position in a clinical or medical setting
  •       Strong understanding of healthcare administration and management
  •       Familiar with administrative software for healthcare systems

SKILLS:

  •       Strong interpersonal skills to effectively communicate with physicians, health insurance representatives, and other healthcare professionals
  •      Strong analytical, decision-making, and problem-solving skills to find creative solutions to solve various administrative problems that arise in healthcare
  •      Proven organizational skills
  •      Up-to-date knowledge on the latest advances in healthcare technology and technical skills

ABILITIES:

  •      Excellent verbal and written communication skills
  •      Strong leadership and organizational skills
  •      Excellent customer service with a client focus
  •       Flexible to work weekends and overtime where required
  •       Able to travel to meetings and to attend conferences as necessary
  •       Able to sit, stand and move around for long hours at a time
